Overview
How many times does one email get rewritten before it sounds right? Most office staff already have ChatGPT, Gemini or Copilot open in a browser tab, but they type one line, get a generic reply, and rewrite it by hand. Summaries and reports get written the same way, week after week.
This programme runs on free accounts, so there is nothing to buy. Hands-on practice is in Gemini, with ChatGPT and Copilot shown doing the same tasks, since the skills carry over to any chatbot. Every participant works on tasks from their own desk and leaves with a library of tested prompt templates for the work they repeat most.
Who should attend
- Office staff from any department
- People who use ChatGPT, Gemini or Copilot on a free account, or have barely started
- No coding or prior AI training is needed
What you will be able to do
- Brief any AI chatbot with the RCR framework, and keep confidential data out of the chat.
- Draft a report, summarise a long document, and research a topic using a chatbot's advanced functions.
- Improve a weak prompt with Meta Prompting, and use Reverse Prompting when you are unsure what to ask.
- Turn one weekly task into a tested prompt template, saved in a personal prompt library.
Course content
Part 1: The AI mindset, RCR and the privacy rules
- Use the RCR framework (Role, Context, Request) to brief a chatbot that keeps giving generic answers.
- Rebuild a one-line email request into a prompt that returns a reply you can send as it is.
- Keep salary figures, IC numbers and customer details out of the chat, and mask the rest first.
Part 2: Advanced chatbot functions for summaries and reports
- Draft a report in Canvas, change one paragraph without regenerating the rest, and export it to Google Docs.
- Summarise a long SOP, circular or government guideline down to the dates, rules and actions you need.
- Research a supplier or a new regulation with Deep Research, and check every source before the brief goes out.
Part 3: Meta Prompting and Reverse Prompting
- Use Meta Prompting to repair a prompt that no longer gives good results.
- Turn to Reverse Prompting when you know what you need but cannot put it into words.
Part 4: Capstone - from one real task to a prompt library
- Pick one task you repeat every week, and rebuild it with RCR into a tested prompt template.
- Get one-to-one help from the trainer on your own work, including the prompt that refuses to behave.
- Save your templates in a personal prompt library in Google Docs, ready to reuse in any chatbot.
- Bonus, if time allows: load an SOP, a handbook or a government guideline into NotebookLM and get answers with the page cited.
