Overview
How much of your week goes into reports and updates about your team's work? On top of your own tasks, you lose Friday afternoon turning meeting notes, a sales export and a week of chat messages into the update your department head wants.
On Day 1 you use two prompting methods, RCR (Role, Context, Request) and 5W1H, in free ChatGPT and Gemini to draft the reports and memos on your desk, then check the figures and sources before anything goes out. Day 2 brings AI into your team, starting with ground rules on what never goes into a free AI tool. You leave with a personal prompt library, a shared team prompt document and one team routine rebuilt.
Who should attend
- Team leads and middle managers who run a team and still carry their own share of the work
- Managers in any department or industry
- Participants with some ChatGPT experience
What you will be able to do
- Use RCR and 5W1H to write prompts for everyday management tasks in ChatGPT and Gemini.
- Turn meeting notes, reports and data exports into action lists and memo drafts ready to edit.
- Check the figures and sources in AI-assisted work before it goes to management.
- Build a personal prompt library for the management tasks you repeat every week.
- Decide which of your team's repeated tasks to hand to AI, delegate to staff, or keep.
- Set privacy ground rules on what your team may put into AI tools, in line with any company AI policy.
- Build a Gemini Gem for one recurring task and a shared prompt document for your team.
- Rebuild one team routine with AI and identify where a person must still check the output.
Course content
Day 1: Your own desk
- RCR and 5W1H for everyday management tasks: map last week's tasks on an Effort and Frequency grid, brief ChatGPT on the one worth fixing first, then run the finished prompt in Gemini.
- Turning meeting notes and reports into actions and memos: a transcript into an action list with owners and due dates, a sales or KPI export into a one-page summary and chart, and a decision memo drafted in Gemini Canvas.
- Checking the facts before a report goes to management: Gemini Deep Research and its sources, comparing the same figures across ChatGPT and Gemini, and spotting a made-up policy clause.
- A personal prompt library for your weekly tasks: saving the prompts that worked and having the chatbot critique a prompt that gives generic answers.
Day 2: Bringing AI into your team
- Deciding which team tasks to hand over: Reverse Prompting to spot the tasks you could delegate, the message that tells your team you are starting to use AI, and Meta Prompting to write prompts your staff can run without you.
- Privacy ground rules for your team: Temporary Chat and the settings that decide whether chats are used for training, rewriting prompts with placeholders and dummy rows, and a team rule card built from everyday cases.
- A team prompt document and a Gem for recurring work: moving your best prompts into a shared document, building a Gemini Gem that drafts a weekly report under fixed headings, and a demonstration of Gemini Notebook answering questions from a team handbook with citations.
- Capstone, rebuilding one team routine: pick the routine that costs the team most time, rebuild it with your saved prompts and Gem, and show the class the old way, the new way and the step a person still checks.
How it runs
- Hands-on practice with live demonstrations, built around your own weekly tasks.
- Runs on free accounts: bring a laptop signed in to personal ChatGPT and Google accounts.
- Sample files are provided, so no real staff or customer data is needed.
- Delivered in person or live online.
